Core Governance Overview
This framework defines the principles that guide how The Offsite Co operates across every client engagement. Core Governance ensures consistency in decision-making across financial management, client relationships, communication, and event delivery.
These principles are grounded in our core values. They are not rules imposed from the outside — they are expressions of who we are and how we choose to show up.
Our Core Values
Everything we build, every decision we make, and every client interaction we have is grounded in these five values.
Deliver Wow We don't plan events. We design experiences that create genuine connection, lasting memories, and meaningful impact. Good enough is never the goal.
Be Grateful Everyday We show up with gratitude for the trust clients place in us, for the team we get to work alongside, and for the work we do. Gratitude keeps us grounded and focused on what matters.
Unrelenting Transparency We tell clients the truth — about budgets, timelines, risks, and tradeoffs — before they have to ask. We show our work. We set realistic expectations and we keep them.
Team Player We win together. That means sharing information, supporting each other through handoffs, communicating proactively, and never leaving a teammate without what they need.
Ownership We take full responsibility for our work. When something goes wrong, we don't look for excuses — we find solutions. We follow through on every commitment.
What Is Core Governance?
Core Governance is a set of operating principles that apply across all phases of the Client Delivery System. Unlike phase-specific process docs, governance principles are always-on — they don't activate at a particular phase and switch off at another.
These principles answer the question: how do we operate? The lifecycle docs answer: what do we do and when?
Every team member is expected to understand and operate within these principles regardless of their role.
Governance Principles
Each principle below defines a key area of how we operate. Detailed guidelines and rules for each are in the linked documents.
01 Budget Integrity Ensure all event budgets are accurate, controlled, and consistently managed throughout the project lifecycle — with full visibility into both estimated and actual spend at all times. Core Value: Unrelenting Transparency
02 Client Spend Controls Define how and when financial commitments are made to ensure all client spend is intentional, approved, and aligned with the agreed budget before funds move. Core Value: Unrelenting Transparency + Ownership
03 Client Relationship Standards Establish how we show up for clients as a strategic partner — building trust, maintaining transparency, and delivering a genuinely human experience from first interaction through reengagement. Core Value: Deliver Wow + Be Grateful Everyday
04 Communication & Expectation Setting Ensure clear, proactive communication with clients and internal teams so expectations are aligned, decisions are documented, and surprises are avoided. Core Value: Unrelenting Transparency + Team Player
05 Risk & Escalation Protocols Define how risks, issues, and unexpected situations are identified early, communicated clearly, and resolved without letting problems compound before they reach the client. Core Value: Ownership
06 Continuous Improvement Capture learnings from every event and ensure insights are translated into process improvements, updated tools, and stronger future execution — so every event is better than the last. Core Value: Ownership + Team Player
